How RxEze Inc. collects, uses, stores and protects information in CountEze.

Last updated October 29, 2026

Summary

  • CountEze collects what it needs to count tablets, keep count records and run your pharmacy's account: account details, count photos and results, and the controlled-substance lists you upload.
  • Count photos are sent to our servers to be counted and are kept with each count as part of your pharmacy's record.
  • We do not sell personal information, show ads, or use advertising or analytics trackers in the app.
  • CountEze is not designed to collect patient information. Please keep prescription labels and patient details out of count photos.
  • You can ask us for a copy of your information, to correct it, or to delete it by emailing [email protected].

1. Who we are

CountEze is a product of RxEze Inc., based in Alberta, Canada ("RxEze", "we", "us"). This policy covers the CountEze mobile app, the CountEze dashboard at api.counteze.com, and the website at counteze.com (together, "CountEze").

CountEze is used by pharmacies and their staff. When a pharmacy uses CountEze, the pharmacy remains responsible for its own records, including its narcotic and controlled substance records. We handle that information on the pharmacy's behalf to provide the service.

2. Information we collect

Account information

Your name, email address, role, the pharmacy (workspace) you belong to, and your password, which we store only in a hashed form we cannot read. We also keep sign-in sessions and the date you were last active.

Count records

When you count, the app sends the photo of the tray to our servers, where the tablets are counted. We store the photo, the count result, the position of each counted tablet, the medication details you select or scan (such as name, strength, form and DIN), any lot number you enter, who counted, and when.

Narc Count information

The narcotic, controlled and targeted substance lists your pharmacy uploads (as CSV or Excel files), expected and counted quantities, the reasons recorded for discrepancies, and the audit trail of who did what and when.

Payment information

Subscriptions are processed by Stripe. Your card details go directly to Stripe; we do not receive or store full card numbers. We keep your subscription status and the payment events Stripe sends us.

Support and communications

Messages you send us, and the emails we send you, such as team invitations and password resets.

Technical information

Our servers record basic request information, such as IP address, time, and the app or browser making the request, to keep CountEze secure and to troubleshoot problems.

Camera

The app uses your camera only when you take a count photo or scan a barcode. CountEze does not record audio.

3. Patient information

CountEze counts medication; it does not need, and is not designed to collect, information about patients. Please make sure prescription labels, patient names and other patient details are not visible in count photos. If a photo does include such details, it is stored as part of the count record and protected in the same way as the rest of your pharmacy's information.

4. How we use information

  • To count tablets and show you the result.
  • To keep your pharmacy's count and Narc Count records, and to produce reports and PDF or CSV exports.
  • To run accounts: signing in, inviting team members, resetting passwords, and controlling who can see what.
  • To process subscriptions and payments.
  • To answer support requests and tell you about important changes to the service.
  • To keep CountEze secure, prevent misuse, and fix problems.
  • To improve the accuracy of CountEze's counting. We may use count photos and results for this, only within RxEze. Your pharmacy can ask us to exclude its photos by emailing [email protected].

We do not sell personal information, and we do not use it for advertising.

5. Who we share information with

We share information only with service providers that help us run CountEze, and only what they need to do so:

  • Hosting: our servers and the data they store are hosted by Newfold Digital, Inc. in the United States.
  • Network: Cloudflare carries traffic to counteze.com.
  • Payments: Stripe processes subscriptions and card payments.
  • Email: Hostinger delivers the emails we send, such as invitations and password resets.
  • App stores: Apple and Google distribute the app and handle downloads under their own privacy policies.

When the app looks up a medication by its code, we may query public drug databases such as the U.S. FDA's openFDA. Only the medication code is sent, never information about you or a patient.

Within your pharmacy, people with access to your workspace can see its count records and reports, according to their role. We may also disclose information if the law requires it, or to protect the safety and security of our users and service.

6. Where information is stored

CountEze's data is stored and processed on servers in the United States. Information stored there may be accessible to authorities in that country under its laws. By using CountEze, you understand that your information will be handled outside Canada.

7. How long we keep information

We keep your pharmacy's records while its account is open, because count and narcotic records are evidence your pharmacy may need. When a pharmacy closes its account, we delete its records, including photos, within 90 days, unless the pharmacy asks for an export first or the law requires us to keep them longer. Server logs are kept only as long as needed for security and troubleshooting.

8. How we protect information

Information travels over encrypted connections (HTTPS). Passwords are stored hashed. Access is limited by role within each pharmacy, and each pharmacy's photos are stored separately. Corrections are kept as new entries rather than overwriting the record. No system is perfectly secure, but we work to protect your information and will notify affected pharmacies and the appropriate authorities of a breach as the law requires.

9. Your choices and rights

You can ask us to:

  • give you access to the personal information we hold about you;
  • correct information that is wrong;
  • delete your account or your information;
  • exclude your pharmacy's photos from improving counting.

Email [email protected] from the address on your account. We will respond within 30 days. Some records belong to your pharmacy; for those, we may need your pharmacy's approval, and we may keep what the law requires. You can withdraw consent at any time, though CountEze may then no longer be able to provide some features.

10. Children

CountEze is a professional tool for pharmacy teams. It is not intended for children, and we do not knowingly collect information from anyone under 16.

11. Our website

counteze.com does not use advertising or analytics cookies. It loads fonts from Google Fonts, which receives your IP address when your browser requests them. The site remembers your chosen market (Canada, United States or French) in your browser's local storage; this never leaves your device.

12. Changes to this policy

If we change this policy, we will update the date at the top of this page. If a change materially affects how we handle your information, we will tell account holders by email or in the app before it takes effect.

13. Contact us

For any question or request about privacy, contact our privacy officer at [email protected].

If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada or the privacy commissioner in your province.
